Position Descriptions

Please consider joining our PTSA Board and help support our teachers and students.  Many of these roles are currently filled by people who work full time jobs and are easily managed within a few hours per month.

President Our president conducts the general membership and board meetings, facilitates discussions regarding PTA matters, and communicates directly with the Principal and PTA Board.  The president oversees all committees and is a liaison between the board and community. Previous board experience is helpful but not mandatory.

VP Programs  Our Programs representative is responsible for researching and acquiring programs relevant to the students and/or parents of our Raider family. These include but are not limited to theater productions, motivational speakers, and parenting concerns. There are existing resources but we are welcome to new and timely material.

VP of Communications/Webmaster: This position includes updating the www.gomoodypta.com  webpage and Facebook page.  The Communications person assists in gathering PTA information to include on the Principal’s Sunday Message. 

VP Membership-The VP membership works with the membership committee to plan the annual membership campaign. The VP membership is responsible for creating and implementing a membership plan, which include an invitation to join letter, outlining the accomplishment and benefits of PTA, promote PTA membership through social media sites, email invitations, school and PTA websites, setting up membership table at school events. Distribute special invitations for all teachers and staff. Use PTA financial procedures for Collecting membership dues and forms throughout the year (Retain forms for entire year). Maintain a dynamic list as new members enroll and update the same through Virginia PTA website.. Work closely with the PTA president and the treasurer and give a regular membership report to the PTA. Provide copies of list to the PTA president and the treasurer. Collaborate with Raider Fund /coordinator to maximize employer match from all eligible enrolled members.

Secretary (Combining the positions of Recording and Corresponding Secretaries) Our Secretary is responsible for taking the minutes of board and general membership meetings and presenting them for approval. He/She will also handle matters that involve correspondence with faculty, staff and on occasion, outside groups.

Treasurer-Our Treasurer is responsible for all financial matters. This includes helping create a budget to present to the board and general membership, writing checks, making deposits, reconciling monthly bank statements, yearly filing of taxes and membership dues and presenting statements regularly to the PTA board. Financials are monitored strictly and must follow PTA requirements and bylaws. A required audit is completed every year. Accounting knowledge is recommended. 

Volunteers:  This board member helps organize the volunteer lists at the beginning of the year and forwards them to their appropriate committee people.  Most of the work is during August through October which is assisting the committees in finding volunteers.  This person also is available on an as-needed basis during the school year when volunteer needs come up.  Using useful tools like SignUpGenius and email, most of the work is done on computer from home.

Hospitality: Do you like to host a party?  Do you hate to cook?  Plan the few dinners PTA give to the teachers and staff at Moody throughout the year.  The dates are based on back-to-school night and conference nights when teachers can’t leave the building.  You get to plan, ask for donations, or order catered meals.  There is also a monthly snack basket that is 100% donated by parents but needs set-up first thing in the morning.  Other needs are small and easy to accomplish. 4 friends can split up the duties such that each take one of the dinner nights.  This committee impacts the school the most as it directly feeds our terrific teachers.

Raider Fund – This position is responsible for promoting the Raider Fund and collecting Raider Fund donations throughout the year. This person will work closely with Membership, especially at the beginning of the year when the majority of donations are received, and he/she should expect to volunteer at the PTA table during events such as “Raider, Set, Go”, Fee Day, and Back to School Night. This position is also responsible for securing an incentive / reward for donors (such as a car magnet) and distributing these items to the appropriate families. Throughout the year, the person in this position will also be in charge of submitting paperwork or online requests to companies to ensure that we receive corporate matching donations.

County Council:  PTA has a Henrico County level in which representative from every school meets periodically to gather county information.  The volunteer board member attends these evening meetings and reports back with what is going on county-wide as a PTA.  Much of the information is policy based.  They also attend the Moody Board Meetings.

Lay Advisory:  A citizen-work committee was formed many years ago to assist the School Board and County PTA on researching and discussing matters in the schools.  Such items included the changes to the new math curriculum.  This meeting meets 3-4 times per academic year, or as-needed if an issue needs researched.  Moody Board Representative attends these evening meetings, contributes on behalf of Moody Middle School PTA and reports back to our school the matters being discussed.  They also attend the Moody Board Meetings.

Box Tops- The Box Top Coordinator will organize the collection of Box Tops throughout the year. Box Tops must be submitted by due dates necessary for rewards. Incentives can be planned for classrooms with most collection.

Reflections-This position manages the Reflections Arts in Education program at Moody. Responsibilities include publicizing the program, finding judges, collecting entries, and facilitating the judging process. The winning entries must then be sent for further competition and the county level. A celebration is planned and held for all participants by the Reflections representative.  The work for this position is completed by December.

Retail Promotions/Spirit Nights – this person helps secure our popular Moody Spirit Nights throughout the year. Many local restaurants and kid activities such as bowling or skating are happy to host Moody for fundraising nights. This person coordinates these events with the local businesses.

Dance– The Dance representative will coordinate, schedule and ‘host’ two PTA dances (Fall and Spring) throughout the year.  This does NOT include the 8th grade dance.

8th Grade Dance – this position can be an individual or a individuals that work together to organize and plan the annual 8th grade dance that takes place at the end of the school year.
